Building a Digital Vaccination Record for the Vietnamese Family
Building a Digital Vaccination Record for the Vietnamese Family
Building a Digital Vaccination Record for the Vietnamese Family
Healthcare Asia Pharma Awards winning project

This project was a rare opportunity to design a product from the ground up — in a space where few design standards existed. With no ready-made patterns for digital vaccination in Vietnam, I approached the problem by listening closely to real users, observing clinical workflows, and building solutions that could grow with both healthcare staff and families.

1. Project Overview
Project Name: Vaccine Real Customer App (Vaccine RCA) – Digital Vaccination Record
Company / Team: FPT Software
Team size: 10 members • 1 Designer
My Role: Senior Product Designer
Client: FPT Retail – Long Châu Pharmacy Chain
Goal: Build a solution within the Long Châu vaccination ecosystem that enables users to manage vaccination information for themselves and their families.
2. Context
At the end of 2023, Long Châu officially launched its chain of vaccination services across its pharmacy system, aiming to transition from retail pharmacy to proactive community healthcare. Observing the limitations of paper vaccination records in Vietnam, we identified key issues:
Easily lost or damaged
Inconsistent tracking, leading to missed shots
Difficult for users to follow their vaccination history
Long Châu aimed to develop a Digital Vaccination Record integrated into the Long Châu app, with the following objectives:
Enable users to manage all family members’ vaccination records under one account
Personalize vaccine recommendations based on age and history
Track vaccination schedules per individual
Automatically remind users of upcoming doses
Ultimately, our goal was to create a digital tool that simplifies vaccination tracking for both customers and medical staff, replacing traditional paper-based systems.
3. Discovery & Interview
🙋🏻 Target Users
Health-conscious adults
Pregnant women and parents with young children
Elderly people with vaccination needs
📗 Research Methods
1. Primary Research
We conducted qualitative interviews with previous Long Chau customers to better understand their behaviors and pain points. Additionally, we surveyed over 100 customers with prior vaccination experience.
👉 Key findings:
68% couldn’t remember their next vaccination appointment
75% were unsure what vaccines they needed or what diseases could be prevented
42% didn’t bring or had lost their paper vaccination record
2. Secondary Research
We reviewed existing medical platforms in Vietnam (e.g., National EHR, VNVC, etc.)
👉 Key gaps identified:
Unsynchronized vaccination history
Current issue
Opportunity for Long Châu
Fragmented vaccination data between clinics and the national system (users get vaccinated in different places, lose records, etc.)
Allow users to add their own vaccination history, which can later be verified and synced with the national system
Ineffective appointment reminders
Current issue
Opportunity for Long Châu
Reminders are mainly sent via SMS or in-app, often missed or ignored
Add multi-channel reminders (D-2), and highlight reminders directly on the vaccination home screen
Limited vaccine education
Current issue
Opportunity for Long Châu
Users lack information about vaccine-preventable diseases
Recommend vaccines tailored to each user’s age, gender, and purpose (pregnancy, marriage, etc.) in a simple, visual format
3. Core Feature Definition
Based on research, we defined 4 key screens to fulfill user goals:
Vaccination Home: Personalized vaccine/guidance suggestions, upcoming appointment reminders, and instant access to vaccination codes for check-in
Digital Vaccination Record: Visual timeline of past/future doses, user can edit or add past records (doctor verification required for national sync)
Appointment Manager: Book and track upcoming shots, with smart scheduling based on health protocols
Profile: Manage personal and family member profiles, view purchase history, download vaccination certificates
4. Prototyping
🎯 Design Goals
Create an intuitive, user-friendly interface suitable for all target groups — including those less familiar with technology (parents, working adults, the elderly) — while optimizing the user journey to meet essential healthcare needs.
1. Vaccination Home Screen

I used the “Profile Tab” concept consistently across all features, allowing users to quickly switch between family members’ profiles in a visual and intuitive way.
Highlight feature section includes:
Vaccination ID: quick access to your code when checking in at the center.

User's Appointment Timeline: will appear above banner when user have appointment.
Before vaccination: reminders and prep tips (e.g., avoid caffeine or alcohol).
During vaccination: after the system confirms the shot, the user is guided to wait 30 minutes.
After vaccination: shares symptom info and support channels if needed.

Nearest Center: helps users locate nearby Long Châu vaccination sites.
Promotional banners for current campaigns to drive in-store traffic.
Suggested vaccine list: tailored to the user's birthdate, gender, and vaccination history.
Vaccine Information:
Normally, vaccine names are the primary info, with disease and country listed as secondary.
But we found that English names were hard to remember — especially for older users — and most just look for "Disease A from Country B" to compare.
That’s why I redesigned the hierarchy to place the disease as the primary display element.

2. Vaccination Record

On this page, I designed the UI to feel familiar — like viewing a physical booklet: simple, easy to scan, trustworthy.
Left column lists diseases; right side shows vaccination status with color-coded tags.

Users can tap each vaccine to see full details — time, place, vaccine name — and can book their next dose directly from there.

Users can add or edit unconfirmed vaccinations, and these will always require doctor verification before syncing to the national database — ensuring safety and accuracy.

3. Appointment Schedule

This page is the user's central appointment manager. I structured it as a timeline, allowing users to quickly see who in the family has upcoming shots and when.
The system automatically groups family appointments on the same day to make it easier to go together.
It shows payment and appointment status, so users know in advance which doses are paid or pending.
Upcoming appointments are highlighted, and prep tips are shown to help users plan accordingly.

Quickly book an appointment with suggested time and location — users can schedule even without selecting a specific vaccine.

4. Vaccination Profile

When developing the vaccination system within the Long Châu app, we strictly followed existing UI patterns — card layout, navigation system, color state rules, and bottom navigation — to ensure a consistent and familiar experience.
However, recognizing the unique demands of vaccination workflows, I introduced a dedicated "Profile Tab" concept—placing vaccination data directly beneath the account section. This design enabled users to effortlessly manage family members’ records by linking profiles with national health data. To streamline onboarding, we also implemented ID code scanning, allowing users to instantly retrieve and connect official vaccination profiles with a single scan.

Everything is built on the principle of being scalable without disrupting the system, ensuring the product can grow sustainably and adapt to future healthcare use cases.
5. Go Live & Testing
After MVP completion and review with FPT Retail leadership, we officially launched the product across Long Châu Vaccination Centers. Trained nurses actively introduced the app to customers during pre-vaccine consultations, resulting in high adoption and real-world engagement.
💻 Production Observations
Early feedback was overwhelmingly positive:
“I don’t need my mom to remind me anymore — the app does it.”
“I don’t carry paper records anymore — it’s all on my phone.”
“It’s way easier to track the family’s vaccines.”
Users also suggested future improvements:
Track child height/weight from pregnancy
Show vaccination queue and post-vaccine countdown timer
…
✅ Impact & Results
Over 150,000 users onboarded
65% added family members
+12% increase in repeat visits
+35% higher revenue per customer (due to multi-dose usage)
+20% increase in on-time vaccinations
-98% input errors, -92% reduction in manual data entry
Estimated cost savings: 2.4 billion VND/year (from cutting 800,000 paper records)
🏆 Recognitions
Together with prescription scanning and medication reminder features, the Digital Vaccination Record became a core highlight in Long Châu’s healthtech ecosystem.
It received two major awards:
🌏 Asian Healthcare Innovation Honor 2025 (Vietnam Government Portal ↗) – Recognized as a standout feature for its integration with national health data, multi-profile household support, and contribution to public healthcare infrastructure.
6. Takeaways
1. Great products solve real problems
The record itself wasn’t a new idea, but by addressing real frustrations (missed appointments, lost papers, manual input), it delivered measurable value.
2. Design that drives behavior doesn’t need instructions
Smart color coding, reminders, and a clear timeline guided users to act — without needing onboarding.

Everything is built on the principle of being scalable without disrupting the system, ensuring the product can grow sustainably and adapt to future healthcare use cases.
5. Go Live & Testing

6. Takeaways
